General and Management:

  1. The club shall be called WOODFORD ARCHERS herein called the Club.
  2. The funds and property of the Club shall be vested in the committee.
  3. All money and sums received on behalf of the Club shall remain the property of the Club and there will be no distribution of such funds amongst the members.
  4. The objects of the Club shall be the practice and promotion of Archery in all its forms saving those of Bow Hunting and Crossbow archery.
  5. The postal address of the Club shall be that of the Secretary.
  6. The Constitution of the Club shall not be amended or altered except at the Annual General Meeting or at an Extraordinary General Meeting.
  7. Members to decide on the disposal of assets in the event of the dissolvement of the Club.
  8. Names of new members, with names of their proposes and seconders to be put up for six weeks, during which period any member can inform the Secretary that he/she objects of said members. If six objections of said members are raised the candidates may be rejected. In addition if three objections from the Committee are raised the candidate may also be rejected. The decision of the Committee shall be final.
  9. Any member whose conduct, in the opinion of the Committee, is detrimental to the Club shall be asked to resign from the Club.
  10. The management of the Clubs affairs shall be entrusted to the Club Committee.
  11. The Club Committee shall consist of :
    • Chairman
    • Secretary
    • Treasurer
    • Records Officer
    • Field Captain
    • Equipment Officer
    Junior members nominated for one of the above offices must be at least 16 years of age.
  12. The Club Committee may appoint a Sub-Committee as and when required.
  13. The members of the Committee are elected annually, at the AGM, by the members of the Club.
  14. Nominations for election to all officers and Committee, other than existing members of the Committee who will be deemed as standing for re-election unless they state otherwise, must be handed to the Secretary or Chairman in writing signed by the proposer, seconder and nominee at least fourteen days prior to the AGM. Existing officers and Committee, who do not wish to stand for re-election, must inform the Secretary or Chairman of their intentions before the notification date of the AGM.
  15. Four members of the Committee will form a quorum.
  16. Committee meetings to take place monthly where possible with a minimum of ten per year. At meetings of the Club Committee the Chairman, if necessary, is entitled to an additional deciding vote.

    Membership:

  17. There shall be the following classes of members:
    • Senior members
      Affiliated through Woodford Archers to GNAS /Essex /SCAS /Youth Club, plus full membership. Member has full voting rights.
    • Junior members (under the age of 18):
      Affiliated through Woodford Archers to GNAS /Essex /SCAS /Youth Club, plus full membership. Member has full voting rights.
    • Associate members:
      Affiliated through another Club to GNAS /Essex /SCAS, plus full membership to the Youth Club, plus Associate membership to the Club. Member has no voting rights.
      Applications to join the club as an Associate member to be approved by the Committee.
      No more than two Associate members from another Club will be accepted at the discretion of the committee.
  18. The names of applicants wishing to transfer from another Club are to be put before the Committee before acceptance.
  19. No more than two members can be accepted from another Club except at the discretion of the Committee.

    Finance and Auditors:

  20. he accounts of the Club shall be audited by two members of the Club elected at the AGM.
  21. Auditors are not permitted to be members of the Committee.
  22. Auditors to be given access to the accounts at any time of the year.
  23. The Club finical year shall end on August 31st. The AGM shall be held in September.
  24. All cheques and orders withdrawing monies from the Account shall be signed by the Treasurer and one of two designated signatories selected by the Committee.

    Subscriptions:

  25. All affiliation fees must be paid by the end of September.
  26. The annual Club subscription to be agreed at the AGM and paid within one month of the AGM.

    Meetings, Voting and Quorum

  27. Notice of an AGM and any resignations from the Committee must be given in writing to all members, twenty-eight days prior to the date set, by the Committee, for the AGM.
  28. Notice of an EGM must be given in writing to all members fourteen days prior to the date set, by the Committee, for the EGM.

At all General Meeting:

20% of the membership shall for a quorum.

Each full club member shall be entitled to vote.
